Privacy Policy

Effective September 25, 2026

FieldQuote AI (“FieldQuote”, “we”, “us”) provides tools that help contractors create quotes, change orders, invoices, and payment schedules, and share them with customers. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Information we collect

We collect information you provide when you create and use your FieldQuote account, including:

  • Account and business profile information — your name, email address, phone number, business name, business address, and uploaded business logo.
  • Customer and contact information — details you enter about your customers, such as names, email addresses, phone numbers, and billing addresses.
  • Site and multi-site information — site names, addresses, and contacts you add, and the site you assign to a quote, change order, or invoice.
  • Quotes, scopes, change orders, and invoices — job descriptions, scope of work, exclusions, notes, line items, and the documents you create.
  • Payment schedules and milestones — deposit, progress, and final payment milestones you configure on a quote.
  • Payment records and reminder data — payment records you create or that are created through a payment provider, invoice reminder settings, and scheduled-reminder information.
  • Payment-provider connection and status identifiers — identifiers and connection status that let FieldQuote use a connected Stripe or, where enabled, PayPal account.
  • Change-order evidence, signatures, and approval snapshots — photos or documents you attach as evidence, customer typed or drawn signatures, customer response notes, and approval-snapshot/audit records created when a change order or quote is approved.
  • Support requests — your name, email, subject, and message when you submit a support request.

How we use your information

We use the information we collect to provide and operate FieldQuote, including to:

  • authenticate your account and keep you signed in;
  • create and manage your customers, sites, quotes, change orders, invoices, and payment schedules;
  • power customer-facing workflows such as quote and change-order approval and invoice payment;
  • generate draft quote content through AI-assisted features (see below);
  • process and record payments and payment status;
  • send invoice reminders, where you have enabled them;
  • maintain the security of your account and the service; and
  • provide support and respond to your requests.

AI-assisted features

FieldQuote uses AI-assisted functionality to help generate draft quote content. To do this, information you enter — such as job descriptions, business profile defaults, scope, and customer details — may be processed by an AI service for the purpose of producing a draft for you to review. AI-generated output may contain errors and must be reviewed by the contractor before it is sent to a customer or otherwise relied upon. FieldQuote is not a party to any contract between you and your customer. We do not make any claim about whether AI providers do or do not train on submitted data; if this is important to you, please contact us.

Payment processing

There are two distinct types of payments that may involve FieldQuote:

A. Customer payments to contractors. When a customer pays an invoice, the payment may be processed by Stripe through the contractor’s connected Stripe account. Payment details such as full card numbers are handled by the payment provider and are not stored directly by FieldQuote. Apple Pay may be available through Stripe where supported. FieldQuote does not receive contractor customer invoice payments. Where PayPal functionality is enabled or retained for limited use, customer invoice payments may also be processed through PayPal, and PayPal handles the payment details.

B. FieldQuote SaaS subscription payments. Payments for your FieldQuote subscription are separate from contractor customer invoice payments. The provider used to collect FieldQuote subscription payments may differ from the providers used for customer invoice payments. We will not describe any subscription payment provider as live until its integration is actually completed.

Public customer links

You may share public links with your customers for quotes, approvals, change orders, and invoices. When you share a link, the information necessary to display that document and complete the related workflow (for example, quote details, payment terms, or change-order scope and evidence) becomes accessible to the recipient of the link. You are responsible for choosing which customers you share links with. Public links should be treated as accessible to anyone who has them; we encourage you to share them only with the intended recipient.

Third-party services

We use third-party service providers to help operate FieldQuote. Services actually used in the current app include:

  • Base44 — the application platform that provides hosting, database, authentication, server-side functions, email delivery, and related services for FieldQuote.
  • Stripe — used for customer invoice payment processing and connected-account functionality for contractors.
  • Google — used for sign-in/authentication where you choose to sign in with Google.
  • PayPal — a payment provider where functionality is enabled or retained for limited use.
  • An AI service — used to generate draft quote content as described under “AI-assisted features”.

These providers process information only as necessary to provide the services we use them for, and they are expected to handle it consistent with this policy and applicable obligations. We do not knowingly list providers that are not actually used.

Cookies, storage, and analytics

FieldQuote uses essential authentication and session storage (such as a sign-in session and local storage needed for the app to function). We do not currently operate a separate analytics or advertising-tracking service on the app. If we add analytics in the future, we will update this policy.

How we do not use your information

FieldQuote does not sell personal information. We do not use personal data for third-party advertising, and we do not engage in cross-app tracking.

Data sharing

We share information with the third-party service providers listed above only as necessary to provide the services described in this policy. We do not sell personal information, and we do not share it for third-party advertising.

Data security

We take reasonable steps to protect the information you provide to FieldQuote against unauthorized access, alteration, or disclosure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Data retention

We retain your account information and user-created content for as long as your FieldQuote account is active or as needed to provide the services. When you close your account or request deletion, we will remove your information as described under “Account and data deletion requests” below, except where we are required to retain it for legitimate business or legal reasons.

Your privacy rights

You can request access to the personal information we hold about you, request corrections to inaccurate information, or request that we delete your information. To make any of these requests, contact us at fieldquotesupport@gmail.com.

Account and data deletion requests

The primary way to delete your account and associated data is the self-service deletion page at https://fieldquote-ai.com/delete-account. If you are unable to use that page, you can also email us at fieldquotesupport@gmail.com from the address associated with your account. We will confirm your identity before taking action and will process your request in line with this policy. We do not promise a specific deletion timeframe; deletion may take longer where information must be retained for legitimate business or legal reasons.

International processing

FieldQuote and its service providers may process and store information in countries other than your own. By using FieldQuote, you acknowledge that your information may be transferred to and processed in those countries.

Children's privacy

FieldQuote is intended for use by businesses and professionals. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review this page periodically.
